I Have Seen Hundreds of Gifting Briefs. The Best Ones Always Have These 4 Things in Common.
I am going to say something that most gifting companies will not say out loud.
The most common reason a gifting order goes wrong — wrong product, wrong timeline, wrong expectation — is not the vendor. It is the brief.
Or rather, the lack of one.
After working with startups, corporates, and everything in between, I have seen it happen so many times. A company reaches out, excited about gifting their team. We go back and forth for days. We share options. They love everything. And then — right at the end — the budget comes out.
And it is half of what we were working with.
Back to square one. Time lost. Energy spent. And sometimes, unfortunately, the event has already passed.
So today, as a founder who genuinely wants every gifting experience to be smooth and successful — here are the four things every company should share upfront with their gifting partner. And why it changes everything.
1. Your Occasion — Because Context Is Everything 🎯
This is the one most people forget to mention — and it is actually the most important one.
A gift for a new joiner's onboarding day is very different from a Diwali celebration gift. A delegate kit for a leadership summit is very different from a client appreciation hamper. An employee milestone gift is very different from a product launch giveaway.
The occasion tells us everything — the tone, the products, the packaging, the message, and the experience we need to create.
When you tell us it is for onboarding, we think about what a new employee should feel on Day 1 — welcomed, valued, excited. When you tell us it is for a festival, we think about warmth, tradition, and celebration. When you tell us it is for a brand event, we think about impact, impressions, and recall.
Without knowing the occasion, we are just picking products. With the occasion, we are creating an experience.
So before anything else — tell us what you are celebrating. That one detail sets the entire direction of the gift.
2. Your Budget — Please, Just Tell Us 💰
I understand why people hesitate. Nobody wants to feel like they are showing their cards too early.
But here is the truth — a good gifting partner will not just fill up your budget. We will work within it to give you the absolute best possible outcome.
When there is no budget shared, we are working in the dark. We curate options that are too premium, too basic, or completely off the mark. And when the budget finally comes out — on both sides, there is frustration.
Sharing your budget upfront does not limit the conversation. It opens it up.
It helps us tell you honestly — "Yes, this is very much possible" — or — "Let us tweak this slightly to make it work."
That honesty from day one is what leads to a gifting experience you will actually love.
3. Your Quantity — Even an Approximate Number Helps 📦
Everything we do — sourcing, printing, packaging, logistics — is planned around quantity.
The price per unit for 50 gifts is very different from 500. The lead time for 100 kits is very different from 1,000.
When you say "somewhere between 50 and 500" — that is a very wide range and makes it very difficult to give you an accurate quote or timeline.
Even a rough number helps. "Around 200 employees" or "approximately 150 delegates" — that gives us something real to work with. We can always adjust as the number gets confirmed, but a ballpark from the start saves everyone a lot of back and forth.
4. Your Timeline — This One Is Non-Negotiable ⏰
This is the one I feel most strongly about.
Corporate gifting is not an overnight process. Behind every beautiful, well-packaged, branded gift is a supply chain — sourcing, customization, quality checks, packaging, and delivery. Each step takes time. And when one step is rushed, the quality suffers.
I have had clients come to us three days before an event needing 300 customized kits. And while we always try our absolute best — rush orders compromise quality, limit options, and cost more.
When you share your timeline upfront — even if the event is two months away — we can plan everything properly. Sample approvals, adjustments, on-time delivery. Something that makes you genuinely proud.
The earlier you tell us your deadline, the better the gift we can create for you.
Why This Matters — For You, Not Just For Us
When I ask for your occasion, budget, quantity, and timeline upfront — I am not asking for my convenience. I am asking for yours.
Because the client who shares all four from day one gets:
✅ A gift curated specifically for the right occasion and audience
✅ A faster, more accurate quote
✅ Options that are actually relevant to their needs
✅ Enough time for sampling, revisions, and approvals
✅ A gifting experience that feels smooth, not stressful
✅ A final product they are genuinely proud of
And that — a client who is proud of what they gave their people — is exactly what we work towards at The Knots Studio every single day.
Before You Reach Out to Any Gifting Partner — Answer These 4 Questions First:
🎯 What is the occasion — onboarding, festival, event, milestone? 💰 What is my approximate budget per gift or total budget? 📦 How many gifts do I need — roughly? 📅 When does this need to be ready?
Four answers. That is all it takes for any good gifting partner to start working for you in exactly the right direction.
We would love to be that partner.
